Starting a Business
Helping You Get It Right From Day One
You've Found Your Passion. Now What?
Starting a business is exciting, but it can also feel overwhelming.
One day you're doing what you love, and the next you're expected to understand GST, tax, IRD, business structures and a whole new language that no one ever taught you. Suddenly you're not just doing the job you love, you're also the owner, bookkeeper, marketer, administrator, customer service team and decision-maker, wearing more hats than you ever imagined.
At Ktrio, helping people start their business with confidence is one of our biggest passions. We love working with everyday New Zealanders who never planned on becoming business owners, they simply followed their passion and suddenly found themselves self-employed.
Whether you're starting your first small business, becoming self-employed, growing a farming operation, building a career as an LMC midwife, managing rental properties or working in real estate, we're here to guide you every step of the way.. We'll help you understand your obligations, answer the questions you didn't even know to ask, and give you the confidence to focus on building the business you've worked so hard to create.
Sole Trader or Company?
One of the first decisions you'll make when starting a business is choosing the right business structure.
Should you operate as a Sole Trader or start a Company? What are the differences? Which one will save you tax? Which one best protects you as your business grows?
Myth: You need to operate as a company.
Reality: Not necessarily.
Many new business owners believe they need to set up a company from day one. In reality, operating as a Sole Trader is often the simplest and most cost-effective option when you're starting out.
A company can provide benefits in the right circumstances, but it also comes with additional compliance, responsibilities and costs.
Every business is different. We'll help you understand the pros and cons of each structure, so you can choose the option that's right for you.
Business Bank Account or Personal Account?
One of the biggest myths is that every new business needs a business bank account.
For many sole traders, that's simply not true.
A personal bank account can often work perfectly well, especially when you're just starting out. The important thing isn't whether the account is a business account, it's having a simple system that keeps your finances organised.
At Ktrio, we generally recommend having two separate bank accounts:
Main Account – This is your everyday transaction account, where all business income is received and business expenses are paid. We recommend having a debit card attached to this account for day-to-day business purchases.
Tax Savings Account – Every time you're paid, transfer a percentage into this account to cover GST, Income Tax, ACC and Student Loan (if applicable). That way, when it's time to pay IRD, the money is already there, helping you avoid unexpected tax bills and unnecessary stress.
We'll help you choose a banking setup that suits your business, explain how much to set aside based on your circumstances and show you a simple system that makes managing your money easy from day one.
When to register for GST
GST is one of the biggest areas of uncertainty for new business owners when starting a business, and one of the topics we're asked about most often.
Do you need to register?
Should you register before you're required to?
What are the advantages and disadvantages of registering early?
How often do you file?
What records do you need to keep?
The good news is, GST doesn't have to be complicated.
We'll explain how GST works, what it is, and help you decide whether registration is the right choice for your business, and make sure you understand your ongoing responsibilities before you commit.
If you do decide to register for GST, we can do this on your behalf. We'll help get everything set up correctly from the start and show you a simple system for keeping track of your income, expenses and GST, so you're not scrambling when it's time to file your return.
Our goal isn't just to prepare your GST returns, it's to help you understand them, so you can feel confident knowing exactly where you stand.
Understanding your tax obligations
Myth: You don't pay tax in your first year, then you pay double tax in your second year.
Reality: Not exactly.
This is one of the biggest myths we hear from new business owners.
The truth is, you'll pay tax on the profit you earn in your first year of business. Depending on when you start, that tax may not be due until the following year.
What often catches people by surprise is that, in their second year, they may need to pay:
Terminal Tax for their first year of business.
Provisional Tax towards their second year's tax.
ACC Levies
Student Loan Repayments
Receiving these payments around the same time can make it feel like you're paying 'double tax', but you're not. You're simply paying tax for one year while making payments towards the next. This is why its crucial to put tax money aside from Day One.
At Ktrio, we'll explain what to expect, help you understand when your tax is due and recommend how much to set aside from every payment, so there are no nasty surprises along the way.
Xero made simple
At Ktrio, Xero is our preferred accounting software. We recommend it because it's easy to use, cloud-based and backed by fantastic support, making it the perfect solution for busy small business owners.
As Level 3 Xero Specialist Certified advisors, we'll get everything set up correctly from day one, so you can focus on running your business instead of worrying about the technology.
We'll take care of:
✔ Setting up your Xero organisation
✔ Connecting your business bank accounts
✔ Inviting you as a Xero user
✔ Customising your setup to suit your business
✔ Showing you how everything works
Once you're set up, we'll provide personalised Xero training so you feel confident using the software. Whether you've never opened Xero before or just need a little guidance, we'll explain everything and answer any questions along the way.
Instead of collecting receipts in your wallet, glovebox or an old shoebox, simply snap a photo as you go in the Xero App. Your receipts are stored digitally, making them easy to find whenever you need them.
Our goal isn't just to give you accounting software—it's to give you the confidence to use it.
Someone in your corner
Starting a business can feel lonely.
Questions pop into your head at the most random times.

"How do I code this in Xero"
"When is my Student Loan due"
You don't have to figure it all out alone.
At Ktrio, we're here to answer your questions, guide you through the unknown and give you confidence every step of the way. No judgement. Just real conversations, honest advice and genuine support.
